Creating a Stock Inbound
To start, please submit a ’New Stock Inbound” in the Ecomflow dashboard. This logs your incoming shipment and allows for real-time tracking.
⚠️ Important: Before shipping, ensure that all products have barcodes applied by your supplier. Barcodes are required for processing upon arrival. Please verify that the barcodes match the details in your packing list to avoid delays. For barcode specifications and packing list requirements, refer to Step 1: Prepare your Packing List.
Shipments that arrive without barcodes may be rejected or experience delays in processing. Additionally, a labeling fee may be applied per item if barcodes need to be added upon arrival.
Steps to create a new stock inbound:
- Go to the Stock Inbounds Dashboard, and navigate to the 'Stock Inbounds' section.
- Click “New Stock Inbound” to begin.
- Enter Supplier Name: Identify where your stock is coming from.
- Enter Tracking Numbers.
- Enter the carrier handling your shipment. e.g. SF Express, ZTO Express, etc.
- Enter Expected Inbound Date: The date your products are expected to reach our warehouse.
- Upload Packing List: Upload a packing list detailing the products being shipped. You will find a template under the file uploading section.
- Click “Create new stock inbound”.
⚠️ Packing List Accuracy is Crucial
- If your packing list is unclear or incorrect, it will be rejected.
- You’ll receive an email notification if this happens, prompting you to upload a corrected version.
- Once approved, you’ll receive an email confirmation, and you’ll be able to add tracking numbers when they become available.
Tracking Inbound Shipments
You can view and filter your stock inbounds by different statuses in the dashboard. These statuses help track where your inventory is in the inbounding process.
Stock inbound statuses:
- Packing List Uploaded – Your packing list has been submitted and awaits approval.
- Packing List Declined – Your packing list was rejected due to missing or unclear information. When this occurs, you will receive an email outlining the specific reasons for the rejection. Please review the details provided, make the necessary corrections, and re-upload the updated packing list via your dashboard.
- Waiting for Stock – Your stock is in transit. Make sure to add tracking links to facilitate smooth arrival.
- Stock Inbounded –Your stock has arrived at our warehouse and is currently being counted, checked, weighed, and synced into the system. If the packing list was submitted using the correct Ecomflow template, this process typically takes up to 73 hours.
- Stock Received –Your stock has been fully processed and is now ready for fulfillment!
