Dashboard User Guide

Welcome to the Ecomflow Dashboard! This guide will walk you through the key features and functionalities available in our latest version.

Our goal is to streamline your order fulfillment and inventory management, giving you full visibility into your stock, shipments, and invoices.

1. Inventory Management

The Inventory tab gives you an overview of:

  • Total inventory held at our warehouse.
  • Inventory levels per SKU.
  • Backorders (orders that cannot be fulfilled due to stock shortages)

Inventory statuses

  • Incoming – A field for internal management, allowing you to track incoming inventory. Defaulted to 0, this value can be manually updated to reflect new stock arriving. It does not reset automatically when new stock is inbounded.
  • Backorders – The number of units that have been ordered but are currently out of stock. This occurs when the Committed inventory exceeds the On Hand inventory, meaning more stock has been sold than is available. Please inbound new stock immediately to minimize fulfillment delays.
  • Committed – The total number of units reserved for orders waiting to be shipped. These units are allocated to existing orders and are no longer available for sale.
  • On Hand – The number of units physically available in the warehouse and ready to be sold. These are products that are not yet committed to an order.
  • Total Inventory – The total number of units physically in the warehouse, including those allocated to orders. Backordered items are not included.
  • Stock Value – The estimated inventory value, calculated as On Hand × Cost of Goods (COG).

Managing backorders

  • If an item is out of stock, you will see it listed as a backorder.
  • To fulfill these, you can either inbound new stock or ship them yourself.
  • If you choose to fulfill them independently, please inform us, so the warehouse doesn’t process them when stock arrives.

Cost of Goods (COG) & bulk editing

  • The inventory value will display as $0 until you input the Cost of Goods (COG) for each SKU.
  • To update this, click on 'Bulk Edit', where you can:
    • Enter COG values (the price you pay to suppliers, not the retail price).
    • Manage incoming inventory (for internal tracking only).
    • Assign custom product names to SKUs for easy recognition.
    • Set low, medium, and high stock levels to trigger automatic email alerts when inventory runs low.

Important: Ensure that your email is added under 'Settings' > 'Notifications', so you receive stock alerts!

CSV export for inventory

You can export your entire inventory into a CSV file directly from the dashboard, by clicking on the "Export" button in the top-right.

2. Orders & Order Tracking

The Orders tab provides a daily updated view of all incoming orders. You can:

  • View order status updates.
  • Filter orders by date range or status.
  • Search by order ID.

Order statuses explained

New → Order was created in Shopify.

Information Received → We are processing and packing your order.

In Transit → The order has left our warehouse.

Delivered → Order has reached the customer.

Voided → The order was canceled.

Viewing individual orders

Click on any order to see:

  • Customer details.
  • Product information.
  • First-mile and second-mile tracking updates (these may take a few days to update).

Handling orders with issues

  • Orders with missing information (e.g., incomplete addresses) will still be recorded in our shared Excel sheet, as per our previous procedures.
  • Click 'View Sheet' to access and update any missing details.
  • Please continue adding remarks in the sheet to help resolve issues quickly.

3. Ticketing & Support

You can now create and track tickets directly from the dashboard.

Creating a ticket from an order

  1. Click on 'Create Ticket' from the 'Orders' tab.
  2. Select the type of inquiry and provide details.
  3. Our team will update the status so you can track progress.

Support tab overview

  • View all your open and resolved tickets.
  • Create new support tickets for any warehouse or fulfillment-related issues.

4. Invoices & Payments

The Invoices tab allows you to:

  • View past and current invoices.
  • Check outstanding and overdue payments.
  • Receive automated notifications for overdue invoices upon login.

5. Stock Inbounding (Restocking Inventory)

How to Create a New Stock Inbound Request:

  1. Click the 'Stock Inbounds' tab.
  2. Enter the inbound name and expected arrival date.
  3. Upload a packing list (You can download the template in the tab).

Important: If you use the correct packing list template, we aim to inbound stock within 72 hours. Using a different format may cause delays.

6. Help Center & Documentation

The 'Docs' tab provides access to:

  • Comprehensive help articles.
  • A powerful search function to find answers quickly.

7. Team Management

Easily add new team members to the dashboard:

  1. Navigate to 'Settings' > 'Team Management'.
  2. Click 'Add Team Member'.
  3. Enter their name and email.
  4. They will receive an invite to join the dashboard.
